The Essential Tool for Limited Submissions Programs Webinar Recap

  • February 21, 2025

In a recent Peer Spotlight webinar, The Essential Tool for Limited Submissions Programs, several panelists shared insights into their roles and experiences in managing limited submissions at their universities. Each panelist shared their own special viewpoint, shaped by their institution's size, focus, and setup. This discussion really brought out the details of handling research opportunities and the teamwork needed to match them with what faculty are interested in and what the institution aims for.

Alyssa Von Lehman Lopez from the Colorado School of Mines outlined her role in managing research proposals and funding opportunities. Alyssa highlighted how teamwork and open communication are key to making the proposal process smooth and efficient. Working at a STEM-focused school without a medical school, she shared the unique challenges of handling a smaller number of limited submissions, especially when it comes to federal and foundation opportunities. Alyssa's use of tools like InfoReady to manage internal competitions and seed grants showed just how adaptable you need to be in a lively research setting.

Jalon Martin from Rice University discussed his role in coordinating research development and managing the limited submission process. Jalon's background in cognitive and computational neuroscience, along with business administration, really helps him connect the dots between academic research and the administrative side of things. At Rice, Jalon happily noticed more faculty getting involved with research opportunities, thanks to some smart incentives and a focus on bringing different research offices together. His way of using tools like Ex Libris Pivot-RP and InfoReady highlights how important it is to make processes smoother and give faculty easier access to funding opportunities.

Gabriella Keanaaina from Texas A&M University shared her experiences in managing limited submissions and enhancing research opportunities through collaboration with sponsors and investigators. Gabriella's time at Caltech gave her some great insights into making administrative tasks more efficient and staying on top of federal guidelines. At Texas A&M, she was excited to see a big boost in limited submissions, especially in areas like NSF and Department of Energy research. She loves using tools like Monday.com and InfoReady to keep track of recurring opportunities and reviewer assignments, showing just how intricate and rewarding it can be to coordinate research at a big university.

Kendra Hillman from Arizona State University described her role as a project coordinator for the Research Development Office, focusing on opportunity management and internal grants. Kendra enthusiastically pointed out the growing buzz around research at ASU, especially in exciting areas like semiconductors and STEM fields. She loves using tools like Airtable and InfoReady to keep everything organized and running smoothly, showing just how crucial it is to have a flexible and efficient system to support such a big and innovative campus.

In a nutshell, the panelists' chats really showcased the variety of ways different institutions handle limited submissions. They shared how teamwork, flexibility, and smart use of technology can really boost research opportunities and get faculty more involved. As universities keep figuring out the tricky world of research funding, these insights are like little nuggets of wisdom for managing limited submissions and building a lively research community.
