How Tufts University Scaled Research Development with InfoReady

At Tufts University, the Strategic Research Development (SRD) team found themselves at a familiar crossroads.

During a Peer Spotlight Webinar, Tufts shared how adopting InfoReady not only simplified their processes but also provided their team with valuable time, enhanced outcomes, and fostered a more scalable, strategic operation.

From Hamster Wishes to Modern Workflows

Sometimes, the biggest transformations start with a moment of frustration and a spark of humor.

“In short, when I argued that we needed to adopt InfoReady, I told my boss, I haven't wanted something this much since I wanted a hamster when I was eight,” said Amy Gantt, Director of Strategic Research Development.

For Amy and her team, InfoReady wasn’t just a nice-to-have. It was a much-needed solution to a growing problem: too much time spent on administrative tasks that left little room for strategic work.

“Essentially, we were spending a lot of time manually managing both internal funding and limited submissions,” Amy explained.

What Changed? Everything.

After adopting InfoReady, the SRD team saw immediate gains.

“InfoReady has saved an estimated 30% of time for staff members across all of us who are working on these different projects,” said Amy. “That allows us to take on more strategic activities rather than focusing so much on administration”.

And the impact wasn’t just felt Monday through Friday.“ Since we've adopted InfoReady, I have been able to take my weekends back,” she added.

Limited Submissions, Unlimited Relief

For Adrienne Wesolaski, who manages limited submissions at Tufts, the old process was a patchwork of conditional Excel spreadsheets, email chains, and too many opportunities for error.

“The burden was too much,” she recalled. “So as Amy mentioned, we needed InfoReady.”

Now, limited submission processes are streamlined. With built-in integrations like Pivot-RP and customizable templates, setting up opportunities takes minutes, not hours.

“How much time... saved by pushing limited submissions from Pivot... versus a manual setup?... 30 minutes to an hour, ” Adrienne estimated.

And the accuracy? “We also have fewer errors in terms of what the deadline is, what the amount is... because sometimes they're just copy and paste errors that we all miss,” Amy added.

Growing Internal Funding Without Growing the Burden

Tufts’ internal funding programs have grown significantly over the past few years and InfoReady has scaled right alongside them.

“Our programs have also grown,” said Mustafa Humayun, Associate Director of Strategic Research Development. “The last cycle received 29 applications. This cycle received 56... That shows how much more challenging it would have been for us to accomplish this task manually without the assistance of InfoReady”.

Before InfoReady, reviews were a patchwork of Redcap submissions and multi-week reviewer assignments. “All reviews were downloaded, scores were added to the Excel spreadsheet... tracking and data collection was... very much a manual process,” said Amy.

Now, it’s different. InfoReady serves as what Mustafa calls a “shared infrastructure that grows with our institutional needs,” supporting multiple programs across the university.

Built to Scale with a Tiers-of-Service Model

What makes Tufts’ use of InfoReady especially impactful is how they’ve extended it across the institution using a scalable model.

“Having three distinct tiers has been essential because different units have different levels of needs and capacities,” Mustafa explained.

  • Tier 1: For groups with simple needs and low lift.
  • Tier 2: For units that need more configuration and collaboration.
  • Tier 3: Full-service support. “We manage the reviews... We do the whole process via InfoReady in this case.”

This intra-institutional expansion has created consistency, reduced duplication of effort, and made it easier to train new users. “It also improves visibility across units,” said Mustafa.

The SRD team can now deliver detailed reporting, track outcomes, and quickly respond to leadership requests for data. That’s not just helpful, it’s powerful.
